2. Our Role: Data Processor vs. Data Controller

It is important to understand our role in handling data, particularly regarding youth participants:

• The Subscriber (Coach/League/Organization): Acts as the Data Controller. You determine the purposes and means of processing participant data. You are responsible for obtaining all necessary consents (including parental consent) before uploading data about minors to our Service.
• Base Camp Development: Acts as the Data Processor. We process data on behalf of the Subscriber strictly to provide the evaluation services requested through the Ridge Rank platform.

3. Information We Collect

A. Information from Account Holders (Coaches, Evaluators, Admins)

We collect information that you voluntarily provide to us when you register for the Service:

• Personal Information: Name, email address, and login credentials.
• Usage Data: We may collect information about your interactions with the Service, including IP address, browser type, operating system, and access times via tools like Google Analytics.

B. Information Regarding Participants (Minors)

The Service allows Account Holders to upload data regarding evaluation participants.

• Data Types: This may include the participant's First Name, Last Name, and Date of Birth.
• No Direct Collection: We do not collect this information directly from the participants. It is provided solely by the Account Holder.
• No Minors Access: The Service is not designed for, nor does it allow access to, individuals under the age of 18. Participants do not have accounts or login access.

4. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Ridge Rank evaluation platform.
• Generate evaluation reports and rankings as directed by the Account Holder.
• Send administrative emails (e.g., account verification, password resets, evaluation invites) using our email service provider, SMTP2Go.
• Monitor and analyze usage and trends to improve user experience (via Google Analytics).
• Maintain the security and integrity of our Service.

5. Sharing of Information

We do not sell, trade, or rent your personal information or participant data to third parties. We may share information with trusted third-party service providers who assist us in operating our Service, strictly for the purposes of performing those services:

• Hosting & Database: Microsoft Azure (Data storage and API hosting).
• Email Delivery: SMTP2Go (Transactional emails).
• Analytics: Google Analytics (Site traffic and usage analysis).

We may also disclose information if required to do so by law or in response to valid requests by public authorities.

6. Children’s Privacy (COPPA Notice)

We comply with the Children's Online Privacy Protection Act (COPPA).

• Base Camp Development does not knowingly collect personal information directly from children under the age of 13.
• Any data regarding children under 13 is provided to us by the School, League, or Sports Organization (the Data Controller) under the presumption that they have obtained verifiable parental consent.
• If we learn that personal information from a child under 13 has been collected without such consent, we will take reasonable steps to delete it.

7. Data Security

We use administrative, technical, and physical security measures to help protect your personal information.

• Encryption: All data transmitted between your browser and our servers is encrypted using HTTPS/SSL protocols.
• Storage: Data is secured in Microsoft Azure databases with industry-standard protection.

While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable.

8. Data Retention & Deletion

• Retention: We retain participant and evaluation data indefinitely to allow organizations to track progress over multiple seasons.
• Deletion: Account Holders may request the deletion of their account or specific participant data. Parents or guardians may contact us to request the removal of their child's information from our systems.

• Essential Cookies: Necessary for authentication and keeping you logged in.
• Performance Cookies: Used by Google Analytics to help us understand how the site is being used.
